Venue: Rārākau Forge, located at 199 Clarence Street, Riccarton, Christchurch 8053.
Hirer: Any individual, group, or organisation booking the Venue for events or sessions.
Participant: Any person attending or taking part in an Event at Rārākau Forge.
Event: Any esports-related activity, gaming session, tournament, or related gathering held at Rārākau Forge.
Common Areas: Shared spaces including hallways, restrooms, kitchen areas, and entryways.
- Bookings must be made in advance and confirmed by Esports Ōtautahi staff.
- The Venue may only be used for the purpose specified at the time of booking.
- Any change to event type, duration, or participant numbers must be approved in writing.
- Esports Ōtautahi reserves the right to refuse or cancel any booking at its discretion.
- All Hirers and Participants must behave respectfully, safely, and in accordance with NZ law.
- Harassment, bullying, theft, or damage to property is strictly prohibited.
- Esports Ōtautahi staff may remove any person engaging in unsafe, inappropriate, or disruptive behaviour.
- Hirers are responsible for the safety and conduct of their Participants.
- All Participants must follow venue safety rules, including evacuation procedures.
- Any accidents, injuries, or incidents must be reported to Esports Ōtautahi staff immediately.
- The Hirer must comply with all applicable health and safety legislation.
- Weapons, explosives, flammable substances, and illegal items are not permitted.
- Smoking, vaping, and pyrotechnics are prohibited unless explicitly approved in writing.
- All streamed events held at the Venue must display current sponsor logos where required.
- Gambling or betting is not permitted unless authorized.

- All computers and equipment must be returned to the condition they were found in. This includes logging out of all accounts, closing applications, and removing any games, files, or software installed during the session.
- Hirers are responsible for any equipment they bring into the Venue.
- Venue equipment and furniture must be used appropriately and returned to their original position and condition.
- Any damage to the Venue, furniture, or equipment must be reported immediately. Hirers are responsible for repair or replacement costs.
- The Hirer must leave the Venue clean and tidy.
- Additional cleaning required beyond normal usage may incur extra charges.
- Noise levels must be kept within acceptable limits at all times.
- Amplified sound must comply with venue rules and end at the agreed time.
- Any ticketing, entry fees, or commercial activities must be approved by Rārākau Forge in advance.
- The Hirer is responsible for ticketing management, refunds, and dispute resolution.

- Hirers use the Venue at their own risk.
- Esports Ōtautahi is not liable for personal injury, property loss, damage, or technical issues.
- Hirers indemnify Esports Ōtautahi against all claims, damages, or losses arising from their Event or Participants’ actions.
- Esports Ōtautahi may cancel or terminate bookings if these Terms & Conditions are breached or if safety concerns arise.
- Any disputes will first be addressed through good-faith discussions between the parties.
